As a LearnPlatform administrator, you can create a provider application on the Provider Applications tab of the Management page. A Provider Application for edtech providers/vendors can:
- Save time and reduce frustration with an RFP/RFI vendor process that you own
- Automate processes for vendor RFP/RFI intake and acceptance
- Launch public or “invitation only” vendor applications quickly
The following steps are involved in producing a provider application:
- Create content for the provider application
- Add invitees
- Add reviewers to the provider application
- Add automation rules
- Preview the application
- Publish the application
Notes:
Open Provider Applications
To create a provider application, click the Management drop-down menu [1], then click the Provider Applications link [2].
Create New Provider Application
Click the Create Application button [1].
To create a copy of an existing provider application, click the Options icon [2] and select the Duplicate option [3].
Notes:
- If application updates or new versions are required, duplicate a copy of a master application.
- You can duplicate an existing application and use it as a template for future applications.
- When using a duplicated application, edit the General Information section and new uploads to clearly differentiate the applications.
Each step in the Provider Application process is outlined on the tabs [1]:

To open a step, click any of the tabs.
After entering details in any tab, click the Save Application button [2].
Then, you can publish the application from any tab [3].
Enter General Info
In the General Info tab [1], complete the following fields:
- Application Name [2]: Enter a name for the application that is seen by providers and others in your organization.
- Start Date and End Date [3]: Enter start and end dates for the provider application to be active.
- Direct Communication [4]: Enable or disable direct communication.
- Application Privacy [5]: Set the application to Private or Public.
- Application Type [6]: Choose a company or tool.
- Description [7]: Enter a description of the application.
- Steps for Application Process [8]: Enter a brief description of the application process.
When you are finished, click the Save Application button [9].
Note: You can include a cover letter or instructions on how to complete the application. Referencing the main point of contact at your district ensures the providers can reach the correct person with further questions.
Create Application
In the Application tab, add additional content to the application using existing forms or adding questions.
To add the application contents, click the Application tab [2].
If you have created forms in the Form Builder, you can use an existing form for the provider application by clicking the Form Template drop-down menu [3]. Then, select an existing form.
You can also create the form in the Form Builder by clicking the Settings > Forms link [4].
Add Questions
If you do not have a form already created, you can add questions and fields to the provider application form. Click the Add Question link [1]. Then, select a question type [2].
The inserted question or field displays below the form [3].
You can insert any of the following question types:
- Guidance Text
- Short Answer
- Multi-select Checkbox
- Single-select Radio Button
- Likert Scale
- Rating Scale (1-10)
- Recommendation
- Date
- File Upload
- Tag Checklist
- Signature
- Terms & Conditions
- Pricing Question

Notes:
- Use a variety of question types and formatting options in your applications. Understand how the provider might be accessing the application and make it easy to read, identify, and answer key questions.
- Using placeholder questions can create natural breaks in the document or provide additional step-by-step guidance for specific sections or exhibits.
Add Invitees
In the Invitees tab, add providers or products as applicants for the application.
Add Reviewers
In the Reviewers tab, add members of your organization who should review the provider applications.
Add Automation
In the Automation tab, control the invitation email message to providers and determine how applicants, reviewers, and admins are notified when applications are submitted, accepted/approved, or denied/rejected.
Publish Application
After previewing or when you are ready, publish the application from any step by clicking the Publish toggle on.
