What are some best practices or solutions for promoting students from one class or course to the next while maintaining their records seamlessly, so we avoid having to upload their names and details repeatedly?

I'm not quite sure if you're a teacher or administrator, or what level school/institution you may be at, but in my opinion the kind of system you're describing here is what is normally referred to as a student information system (SIS). This is the system where user information, class information, enrollments, grades, etc are stored and things like a transcript would be generated from. There is usually a sync between Canvas and an SIS at most schools, sometimes just transferring user and class info from the SIS to Canvas, sometimes also syncing grade info back from Canvas to the SIS.
This is just a very short overview, but I hope this gets you pointed in the right direction. There are many SIS vendors to choose from if your school/institution doesn't currently use one, so you'll likely be able to find a few that would meet your needs.
