Archiving Courses College

Hi everyone,

We are a smaller college and we are deciding on how to archive our courses. I have read in the community about concluding courses, creating Archive Sub-Accounts, and also inactivating users. I just have a few questions about how other colleges handle a few things.

1) What do you do about accrediting bodies needing access to past classes? If you create an archive sub-account does that still comply?

2) Is there a preferable way to archive so that the data is preserved and easily accessible?

I appreciate anyone's thoughts.

Thank you @AliciaSwackhame for asking these questions and for sharing the ideas you've already explored. Obviously the best people to ask about accreditation are the accreditors themselves, but I'll share my college's experience in hopes that it helps. We switched our learning management systems several years ago and asked a similar question. We were told that the data retention we already have in our student information system was sufficient (we store our course grades there) and that we did not need to retain data from inside courses. This was also true for the programs at our college that are accredited separately. I advised by faculty colleagues to download the grades from their classes just in case, but I don't recall any problems occurring with that change.

I hope others in the community share their experiences.

we are using software that is automatically saving all our courses on a separate website, which is extremely comfortable!

Sorry for the late reply here. Instructure just rolled out a new offering late last year (link below) called Canvas Archiving. Institutions can now archive their course content and student data. Ultimately, you can back up your courses, reduce clutter, control user access, and secure your data. Hope that helps. Good luck!
