Forms: Introducing the Tag Checklist
The biggest news is a powerful new question type called the Tag Checklist. This highly-requested feature allows you to automatically apply tags to a product based on answers submitted in a form. This eliminates the need for admins to manually add tags and opens up some exciting possibilities for your workflows.
Here’s how you can use the Tag Checklist to your advantage:
- Create Conditional Workflow Steps: Imagine a workflow where a specific principal needs to review a product based on the school where the requester works. Instead of manually applying a "West Bay Middle School" tag, you can add a checklist to the form. When the requester selects their school, the correct tag is applied automatically, triggering the right conditional step.
- Collect Product Information During Vetting: Your reviewers are already evaluating products for features like accessibility or data privacy. Now, you can add a tag checklist to your review form to capture this information. As they check off features like "Closed Captioning" or "Text-to-Speech," those tags are immediately added to the product. This makes the information easily searchable and filterable in your library.
- Set a Status and End a Workflow: For those hard-stop scenarios, the Tag Checklist is a game-changer. You can set up a question like, "Does this product pass district accessibility standards?" and have "Fails" as an option. If a reviewer selects "Fails," a pre-built automation can automatically deny the request, end the workflow, and send a specific denial email to the requester, all without manual intervention.
To get started, you'll need to prepare by creating the necessary tags and organizing them into a tag group and list. Don't worry, we have release notes and a blog post to walk you through it!
Additional Enhancements: Automation and Usability
We didn't stop there. Here are a few other updates to make your life simpler:
Workflows
- New Automation Options: You can now add or remove all tags from a list with a single automation. This is perfect for cleaning up workflow-specific tags at the end of a process.
- Automation-Only Steps: You can now create a workflow step that is purely for automation, with no person assigned. This simplifies conditional steps and reduces repetitive tasks, like sending out specific messages at the end of a process.
Provider Applications
- Search and Filter: For districts managing dozens or even hundreds of vendors, this is a huge time-saver. You can now search for invitees and filter your applicants to quickly find the information you need. You can also sort by invited date and reverse alphabetize.
