Date-Based Automatic Recipient Enrollment in Groups
Affected Users: Admin, Issuer
Location to Enable Feature | Group badge requirements |
|---|
Permissions | Organization Admins, Issuers |
Affects User Interface | Yes |
Affected Areas | Group membership, badge requirements, pathway participation |
Summary
Group configurations allow users to set specific date ranges for automatic recipient enrollment on badge requirements.
- Activating automatic enrollment requires a start date, defaulting to the current date.
- Setting an optional end date stops adding recipients after the selected day.
- Badge awards issued within the configured date range automatically add recipients to the group.
- Badge awards issued outside the configured range do not qualify for automatic enrollment.
Note: This applies only to groups created manually.
Change Benefit
- Multi-Year Group Management: Simplifies managing groups that span multiple academic years or program cycles.
- Cohort Separation: Separates learners into distinct program or curriculum cohorts while using existing pathways.
- Controlled Enrollment Closure: Closes enrollment for specific cohorts without archiving or disabling active groups.
- Targeted Badge Direction: Directs recipients with newer badge awards to designated groups based on issuance dates.
- Historical Award Filtering: Controls how far back historical badge awards qualify for automatic group enrollment.
Feature Workflow
When adding a badge within a manually created group, click the Automatically add recipients to this group checkbox [1]. Enter or confirm the required start date [2] and add an optional end date [3]. Then, click the Add badge or Save changes button [4].

Print Certificate Management Redesign
Affected Users: Admins, Issuers
Location to Enable Feature | Issuer Print Certificates |
|---|
Permissions | Organization Admins, Issuers |
Affects User Interface | Yes |
Affected Areas | Issuer print certificate settings, badge print certificate settings |
Summary
The issuer print certificate experience includes a redesigned interface that simplifies certificate template management across multiple badges. Certificate templates are organized into two categories across issuer and badge settings: Standard and Custom org.
Admins and issuers can enable or disable standard and custom templates across all active badges directly from the issuer settings. The updated interface distinguishes between three separate template states:
- Available: The template is visible and selectable in badge-level print certificate settings.
- Enabled: The template can be used to print certificates for a specific badge.
- Default: The template is automatically selected when a recipient prints a certificate.
Key capabilities include:
- Template Availability
- Make available for badges: Displays the template in badge-level settings. Turning off this setting prevents the template from being selected or used by the issuer's badges.
- Automatically enable for new badges: Available for custom templates only. Automatically enables the custom template on newly created badges without changing existing badges. Requires the template to first be made available for badges.
- Bulk Enablement for Existing Badges
- Enable on all badges: Enables standard or custom templates on every active badge associated with the issuer in a one-time bulk action. Badge creators can manually disable the template on individual badges later.
- Disable on all badges: Disables standard or custom templates on every active badge associated with the issuer. Clears badge-level defaults if the disabled template was set as the default.
- Default Settings
- Make it default: Sets the template as the issuer default. Badges without an existing badge-level default use this issuer default if the template is enabled on the badge.
- Override badge defaults: Sets the selected template as the issuer default, removes existing badge-level default selections across active badges, and enables the template on badges where it is not currently enabled.
- Saving and Reviewing Changes
- Bulk actions queue until the issuer settings are saved. The interface displays queued actions and identifies how many badges will be affected. Users can review or dismiss queued actions prior to saving.
- A warning displays if a saved change leaves the issuer without any enabled print certificate templates.
Change Benefit
- Centralized Template Management: Eliminates manual badge-by-badge updates when introducing or retiring custom certificate templates.
- Clear State Distinction: Distinguishes template availability across all badges from enabling it on individual badges.
- Flexible Template Controls: Controls custom template behavior separately for existing and future badges.
- Consistent Default Application: Standardizes issuer and badge-level default settings across badging programs.
- Pre-Save Impact Review: Queues bulk actions to allow reviewing affected badge counts before applying changes.
Feature Workflow
On the Edit Issuer page, click the Print Certificates tab [1] and locate the custom template in the Custom org templates section [2].
To make a custom template available in badge settings without automatically enabling it for existing or future badges:
- Click the Make available for badges toggle on [3].
- Ensure the Enable automatically for new badges toggle is off [4].
- Click the Save issuer button [5].
To automatically enable a custom template for future badges, click the Enable automatically for new badges toggle on. Enabling this setting does not affect existing badges.
Notes:
- When the Make available for badges toggle is off, issuers cannot use the template for individual badges
- When the Make available for badges toggle is on but the Enable automatically for new badges toggle is off, badge creators can manually enable the custom template for individual badges.
- When both the Make available for badges and Enable automatically for new badges toggles are on, the custom template is available for individual selection and is automatically enabled on newly created badges.
For Standard templates, the Enable automatically for new badges toggle is hidden because automatic enablement applies by default.
To enable a standard or custom template on all existing badges, click the Enable on all badges button [1]. To disable the template on all existing badges, click the Disable on all badges button [2].
When enabling or disabling a template, a notification pill displays queued actions and the number of affected badges [3]. Review or dismiss queued actions before saving the changes.
Note: These bulk actions do not apply to archived and future badges.
To set a standard or custom template as default for an issuer without replacing default templates for individual badges:
- Click the Make available for badges toggle on [1].
- Ensure the template is enabled on the badges that should use it.
- Click the Make it default button [2].
- Click the Save issuer button [3].
Note: Making a template the issuer default does not enable it on badges. To use the template as the default across existing badges, also click the Enable on all badges button.
To set a standard or custom template as default for all active badges:
- Click the Make available for badges toggle on [1].
- Click the Override badge defaults button [2].
- Review the queued actions and number of affected badges [3].
- Click the Save issuer button [4].
